OneDrive Overview

OneDrive is a program used to backup your data. It’s not hard to lose data, hardware fails and ransomware can hold your files hostage. Using OneDrive to back your data up will allow you to get a copy of your data if something were to happen to it.

Desktop Application

The desktop application is used most often in Epitec. The desktop application is user friendly and easy for anyone to access.

  1. There are two ways to access OneDrive: You can go to your search bar and search for ‘OneDrive’ or select File explorer then locate the OneDrive folder

     

  2. Files placed in this location will automatically be backed up.

  3. It’s important to backup your files. This will allow you to restore them if you have an issue with your device or in case of a cyber attack

Web Application

The web application is used less frequently but has larger capabilities

  1. You can access the web version by going to office.com and selecting OneDrive. The web version allows you to

    • Access and edit your files from all your devices.

    • Share inside or outside your organization.

    • Work together in real-time on Office documents.

    • Quickly find the files that matter to you.

    • Keep your files protected and backed up.

  2. The user interface is pretty simple, and allows you to navigate folders

     

  3. Important PC Folders (auto backup)

    You can backup important computer files on OneDrive like your Desktop, Documents, and Pictures files.

    1. Select the OneDrive cloud icon in the notification area, at the far right of the taskbar.

    2. Select More > Settings.

    3. On the Backup tab, under Important PC Folders, select Manage backup and follow the instructions.

     

Sharing

OneDrive allows you to share files and folders with other users

  1. Share files or folders

    1. Select the files or folder you'd like to share.

    2. Select Share .

    3. Select Anyone with this link can edit this item and set the permissions:

      • Select Allow editing if you want others to be able to edit the file.

      • Uncheck Allow editing if you only want others to be able to view the file.

       

       

    4. Select how you'd like to share:

      • Get a link - Select Copy and paste the link into a message, file, webpage, or other location.

      • Email - enter the emails of the people you want to share with, add a message (optional), and select Share.

      • Social network - Select More and select the social network you want.
