Electronic Signature Agreement Workflow

We are changing the way that users sign the Electronic Signature Agreement (ESA). Instead of being a form that gets signed, it will be a check box that gets marked (just like DocuSign works).

This will affect all EpiSign documents (RTR, offer letter, and tech agreement)

Changes to user Signing Process

  • A check box will appear at the bottom of the page if the user is signing for the first time in EpiSign. This also includes internal people (recruiters).  

  • The user can click to read Electronic signature agreement by clicking on the ELECTRONIC SIGNATURE AGREEMENT” hyperlink.

 

  • Upon agreeing to the ESA, a signed ESA document will be generated for the user. The ESA will no longer be filed into Candidate Document Library, but we retain a copy in our system (EpiSign Admin).

 

Onboarding Process Update

For all the onboarding cases moving forwards and for those that have pending EpiSign documents to sign, you will no longer see Electronic Signature Agreement as a task. ESA task will be made inactive. Also, the signed ESA will stop showing up on candidate document library.

Questions:

What happens if an employee acknowledges the ESA but has the wrong name in our system? Will they have to check and new ESA or will the system track the user based on email address? 

The system will track ESA based on UserID and EmailID

The “ELECTRONIC SIGNATURE AGREEMENT” is a hyper link. When you click on it, then a modal opens where you can see the ESA

The documents will be saved in EpiSign Admin
